Track DEA registration expiration and renewal dates

A DEA registration expires on a clock set by business activity - often 36 months for dispensing registrations after the first term, and one year for manufacturing, research, and several other activities under 21 CFR 1301.13. Remindax holds each expiration and renewal window, with Email, SMS, and WhatsApp reminders. Free to start.

DEA registration expiration - the certificate end date and renewal window, tracked per location and business activity.

A clinic can finish a perfect biennial count and still lose the authority to handle controlled substances if the registration itself expires. The expiration date is the end of the certificate - a different federal clock from the physical inventory.

This page owns DEA registration expiration and renewal-window dates. Number lookup and verification live on DEA Controlled Substances Registration tracking. Every-two-years inventory dates live on DEA biennial inventory tracking. (General information only - not regulatory advice. See Sources.)

Expiration dates - not regulatory advice

Remindax tracks registration expiration dates and renewal windows you log. It does not look up registration numbers, verify registrations, submit applications, or provide legal or regulatory advice. Your organization and advisors own the filing.

Section 01

1. What is DEA registration expiration tracking?

A DEA registration authorizes a controlled-substance activity at a registered location for a set period, then it expires. Tracking means recording that end date, the day the renewal window opens, and who must act - then reminding that owner.

Remindax is track-and-remind only. It is not a number lookup, not verification, and not an application guide. Confirming that a number is active belongs on DEA Controlled Substances Registration tracking. The physical stock count belongs on the biennial inventory page.

1.1 Six dates on one registration row

Piece 01

Certificate expiration

The end date on the registration, often the last day of an assigned month.

Piece 02

Business-activity cycle

Three years after the initial term for dispensing-cycle activities. One year for manufacturing, research, and several other rows.

Piece 03

Renewal window opens

Not more than 60 days before expiration under 21 CFR 1301.13(b) - 120 days for specified Schedule I or II bulk manufacturers and importers.

Piece 04

45-day mark

Under 21 CFR 1301.36(i), filing at least 45 days before expiration can extend the registration until DEA issues an order. Track the date. This is not a filing checklist.

Piece 05

One row per location and activity

21 CFR 1301.12 requires a separate registration for each principal place of business. Independent activities expire on their own dates.

Alongside - not this page

Inventory and state clocks

Biennial inventory dates, medical license renewals, and pharmacist license renewals sit on their own pages.

Compliance tracking should keep 36-month rows and annual rows apart. The first certificate can run 28 to 39 months, so a blanket "three years" label misses the first renewal.

Section 02

2. How long does a DEA registration last, and when does renewal open?

Quick answer - confirm in Sources
36-month cycle

Under 21 CFR 1301.13(d), a retail pharmacy, hospital or clinic, practitioner, emergency medical services agency, or teaching institution is first assigned an expiration 28 to 39 months out. After that, the registration expires 36 months from the initial expiration date.

One-year cycle

Under 21 CFR 1301.13(c) and the summary table, manufacturing, distributing, reverse distributing, research, chemical analysis, importing, exporting, and narcotic treatment programs are one-year periods. Do not park a research row on a practitioner's three-year anniversary.

When the window opens

Under 21 CFR 1301.13(b), reregistration may be requested not more than 60 days before expiration, or 120 days for a bulk manufacturer or importer of Schedule I or II controlled substances. The reminder that matters is that open date.

Email from DEA, plus the 45-day mark

21 CFR 1301.13(e)(3) says DEA emails a renewal notice about 60 days before expiration. The DEA registration page states that paper mail stopped in June 2020, with electronic reminders at 60, 45, 30, 15, and 5 days. Under 21 CFR 1301.36(i), an application filed at least 45 days before expiration, with no order yet, automatically extends the existing registration until that order. Confirm in Sources. This page does not walk through forms.

Log three dates on every row: expiration, the day the window opens (60 or 120 days prior), and the 45-day mark. A September pharmacy expiration needs a late-July reminder. An October research registration needs that pattern every year. DEA's renewal page - summarized here, not as advice - says a timely application before expiration may allow authorized activity until final action, describes a one-calendar-month reinstatement, and states that handling controlled substances or List I chemicals under an expired registration is prohibited. Remindax stores the dates. It does not submit anything. Keep biennial inventory dates and a pharmacy permit on their own rows.

Section 03

3. Why tracking registration expiration dates matters

Expiration fails quietly until someone tries to prescribe, dispense, or order. The federal email helps only if it still reaches a person on staff:

3.1

Month-end clusters, mixed cycles

Month-end expirations, with three-year practitioner rows and one-year research or NTP rows in the same building.

3.2

The inbox on the certificate left

DEA email goes to the address on the registration. A former coordinator's inbox means the 60-day note never arrives.

3.3

One address, one authority

A second clinic is not covered by the flagship certificate. Each principal place of business has its own expiration.

3.4

The 45-day mark is a real lead time

Waiting until expiration week skips the 45-day mark in 21 CFR 1301.36(i). Reminders have to fire while there is still time to act.

Teams on health and safety cycles usually keep this expiration in the same register - on its own row, not inside an inventory checkbox.

Section 04

4. Who needs to track DEA registration expirations

Anyone responsible for a certificate end date, not a one-time number check:

Credentialing

Provider panels

Practitioner rows on 36-month cycles, staggered by month.

Pharmacy

Store and hospital pharmacies

Each pharmacy registration expires on its own date, even in a shared renewal season.

Annual rows

Research, labs, and NTPs

Research, labs, and treatment programs cannot share a three-year reminder.

Governance

Compliance leads

Portfolio view of upcoming expirations across locations and business activities.

Supply chain

Manufacturers and distributors

Annual expirations, with a 120-day window for certain Schedule I or II activities.

Section 05

5. What happens when registration expiration dates slip

An alarm six months out is noise: the ordinary application cannot be filed more than 60 days before expiration. The miss that matters is drifting past the 45-day mark, then past expiration. DEA's renewal page states that handling controlled substances or List I chemicals under an expired registration is prohibited, including during the one-calendar-month reinstatement window it describes. After that month, a new application is required. One site can lapse while the flagship is current.

Note: inventory current does not mean registration current

A signed biennial count (see DEA biennial inventory tracking) does not move the certificate expiration. Track those dates as separate hard deadlines. Remindax does not decide whether a particular activity may continue.

Section 06

6. How Remindax tracks DEA registration expirations

Remindax is date-and-status tracking with multi-channel reminders - not a DEA portal, number checker, or application filer. Record the clocks and Remindax watches the dates:

1

Every registration in one dashboard

Expiration, renewal-window open date, and 45-day mark held per location and business activity.

2

Staged Email, SMS, and WhatsApp reminders

Alerts before the window opens and again before the 45-day mark, to the people who own the date.

3

Mixed-cycle view

See which 36-month rows and which annual rows come due next quarter.

4

Status exports

Pull expiration dates and status when an auditor asks. Dates and status only.

One honest limit

Remindax does not look up registration numbers, verify them against a federal file, submit renewal applications, or decide whether an activity may continue after a date passes. Your organization and qualified advisors handle that. Remindax makes sure expiration dates do not arrive unnoticed.

Section 07

7. Why spreadsheets fail for registration expiration tracking

A spreadsheet can list forty end dates. It does not stay honest when a research registration is annual, two clinics share one coordinator, and the inventory month sits in the next column. A cell that says "DEA: current" hides which clock was last checked.

Manual spreadsheet
  • x36-month and one-year rows share one column
  • xOwner name still points at a coordinator who left
  • xInventory dates mixed into the same tab as expirations
  • xNo reminder when the 60-day window opens
  • xGap surfaces when a location can no longer act
Automated tracking
  • ✓Each location and activity has its own expiration
  • ✓Reminders before the renewal window and the 45-day mark
  • ✓Annual rows kept off the 36-month cycle
  • ✓Expiration kept distinct from inventory dates
  • ✓Email, SMS, and WhatsApp to people who can act
