A builder takes on a labour-hire crew for a fortnight, three subcontractors turn up with cards from different states, and one carpenter lost his wallet last month. Everyone says they are inducted. The record of who showed what, and when, is in a site manager's notebook.
This page covers the Australian general construction induction (white card) record only. US safety cards are on OSHA 10 and 30 tracking, Canadian hazard training on WHMIS tracking, and Australian child-safety checks, which do carry expiry dates, on working with children check tracking. (General information only, not legal advice.)
Remindax tracks card details, issuing states, check dates, internal review dates, replacement tasks, owners, and status. It does not deliver training, issue or verify cards, or decide who may work on a site.
1. What is white card tracking?
It is a dated record, per worker, of the general construction induction card they hold, which state or territory issued it, when it was last sighted, and who owns the next step. In Australia the card is widely called the "white card", and the regulator pages we read describe it as the evidence that a person has completed general construction induction training before doing construction work.
1.1 What sits on each row
Worker and employer
Name, role, employer or labour-hire company, and site or project.
Number and issuing state
Card number as printed, issuing state or territory, card type, and issue date.
Sighted and verified
The date the card was sighted, the method (physical card, regulator lookup, digital card), and who checked it.
Status and next step
Who owns the record, its status, and the next internal review date.
Remindax tracks card details, issuing state, check dates, replacement tasks, owners, and status. It does not issue cards, deliver training, connect to regulator databases, or decide whether a person is allowed on a site. Those decisions stay with the regulator, the principal contractor, and your own advisers.
2. What do the regulators say about the white card?
The card is regulated by each state and territory, so your register fields should follow the issuing regulator. The table summarises only what the pages in Sources state. Check the live pages before you set a policy.
| Topic | What the regulator page says | Register field |
|---|---|---|
| Who needs one | SafeWork NSW says you need a white card for construction work, including site managers, supervisors, surveyors, labourers and tradespeople | Role and site, plus card held yes/no |
| How it is obtained | Training with a Registered Training Organisation (RTO); SafeWork NSW says the RTO submits the application, and WorkSafe Victoria says the RTO applies on the person's behalf | Training provider and course date |
| Break in construction work | SafeWork NSW says the card becomes void after two consecutive years or more without construction work; WorkSafe WA describes a similar two-year rule | Last known construction work date |
| Interstate cards | SafeWork NSW recognises interstate cards that remain recognised by the issuing jurisdiction; WorkSafe WA recognises induction training from other states | Issuing state or territory |
| Checking | SafeWork NSW points to Verify NSW; WorkSafe WA links to an Online Licence Search | Verification date, method, checker |
Summary only, based on the regulator pages in Sources. Other states and territories are not summarised here - confirm with that regulator. Not legal advice.
3. Does a white card expire, and what is the two-year rule?
The pages we read give the white card no fixed renewal period, and we have not invented one. SafeWork NSW does not use the word "expiry" on its white card page. It says the card becomes void if the holder has not carried out construction work for two consecutive years or more. WorkSafe WA says a card remains valid while the holder remains consistently within the construction industry, that repeat training is not mandatory once completed, and that the card becomes invalid if the holder leaves the industry for two consecutive years or longer.
The wording differs: a NSW fact sheet says not out of the industry for more than two years, while the white card page says two consecutive years or more. Either way, validity depends on work history, which no card number shows.
3.1 Suggested internal review date
Because there is no printed expiry, give each row an internal review date that your own policy sets. A yearly review plus a check when someone returns from a long break is one example. The interval is yours, not a regulator period.
- ✓Last construction work date: update it when a worker leaves construction duties, so a long gap is visible.
- ✓Return-from-break check: a task that opens when someone is re-engaged after time away, with the regulator's wording attached.
4. How should cards be verified at site induction?
A white card is general training. A site-specific induction run by the site or principal contractor is a separate record.
SafeWork NSW says to use Verify NSW to look up and verify NSW white cards, and it says a holder may still be required to produce the physical card even if they hold a digital white card in the Service NSW app. WorkSafe WA links to an Online Licence Search for blue and white cardholders. Do not assume a lookup exists for every state.
- ✓Sight and check: record the number as printed, use the regulator's lookup if there is one, and log the date and the person.
- ✓Record the gaps: if no check is possible, log that the card was sighted only.
- ✓Keep site induction separate: its own date, owned by the site manager.
Workforces that also work with Canadian or US safety cards can keep them on their own pages: see WHMIS certification and OSHA 10 and 30 cards.
5. How are lost or damaged white cards replaced?
Replacement is handled differently in each state, so the register should store the issuing state next to every card. From the pages we read:
Online or by phone
SafeWork NSW and Service NSW say a replacement can be ordered online if the holder's details match the card; if the card contains errors, call 13 10 50. A fee applies.
Contact WorkSafe
WorkSafe Victoria says to replace a construction induction training card you need to contact WorkSafe, by phone or by submitting a request online.
Go back to the RTO
WorkSafe WA says to find the RTO that issued the card and contact it. If the RTO has closed, a Statement of Attainment for CPCCWHS1001 can be taken to another RTO. If details cannot be found, the training must be done again.
Check the regulator
Not summarised here. Record the issuing state and check that regulator's page.
On a register, a lost card is a dated task, not a note: the date it was reported, the owner who helps the worker apply, the date the application was made, and the date the new card was sighted.
6. What does a workforce white card register look like?
One row per worker, with the card details, the last sighting, the internal review date, an owner, and a status. The example below is illustrative - the names, numbers, and dates are made up.
| Worker | Employer | Issuing state | Card type | Last sighted | Last construction work | Internal review | Owner | Status |
|---|---|---|---|---|---|---|---|---|
| Worker A | Own staff | NSW | White | Mar 4, 2026 | Ongoing | Mar 4, 2027 | Site manager | Current |
| Worker B | Subcontractor | Victoria | White | Jan 20, 2026 | Ongoing | Jan 20, 2027 | Safety coordinator | Current |
| Worker C | Labour hire | Western Australia | Blue (older) | Aug 11, 2025 | Jun 2024 | Review now | Safety coordinator | Under review |
| Worker D | Own staff | NSW | Lost, replacement requested | Sep 30, 2026 | Ongoing | Oct 31, 2026 | Site manager | Replacement pending |
Illustrative register only. Names, dates, and statuses are made up, and the internal review dates are examples of a policy your team sets, not regulator periods.
7. Which owner model works for white card records?
Site manager or safety coordinator
Sights the card, records the number and state, and logs the check.
Supervisor or HR
Chases replacements and updates the last construction work date.
Safety or operations manager
Reviews rows with no card, a long gap, or a pending replacement.
7.1 An example escalation ladder
- ✓Internal review date approaching: the supervisor is asked to re-confirm the card and the work history.
- ✓Review date passed or replacement still open: the row turns overdue and escalates to the safety manager by Email, SMS, or WhatsApp.
The offsets above are examples your team sets. Subcontractor cards are easier to manage alongside their other paperwork on vendor and subcontractor compliance tracking.
8. How Remindax tracks white cards
Remindax is date-and-reminder tracking - not a training provider and not a regulator service:
Every worker on one register
Card number, issuing state, card type, employer, and site per worker, grouped by project or crew.
Review and replacement reminders
A reminder on each internal review date and while a replacement is open, with a named owner.
Remindax does not verify cards, connect to regulator databases, or deliver training. It holds the details, dates, and owners you enter on AWS hosting with encryption. GDPR-ready. For wider training renewals, see training renewal software.
9. Why spreadsheets fail for white card tracking
A spreadsheet holds a card number but cannot chase an open replacement or a long gap.
- xNo printed expiry, so nothing ever turns red
- xIssuing state is missing, so recognition questions are guesses
- xLost-card replacements live in someone's inbox
- ✓Internal review date per worker
- ✓Issuing state and card type on every row
- ✓Reminders by Email, SMS, or WhatsApp
10. Key takeaways
- ✓Track one row per worker with the card number, issuing state, card type, last sighted date, last construction work date, owner, and status.
- ✓The pages we read give no fixed renewal period; NSW and WA describe a two-year break in construction work as the point a card stops being valid. Set your own review date.
- ✓Verify where a lookup exists, log the method, and keep site induction as a separate date.
- ✓A lost card is a dated task whose process depends on the issuing state: Service NSW, WorkSafe Victoria, or the original RTO in Western Australia.
- ✓Remindax tracks dates and status and reminds by Email, SMS, and WhatsApp. It does not verify cards or give legal advice. Free to start.
11. Frequently Asked Questions
The regulator pages we read do not give a fixed renewal period. SafeWork NSW says the white card becomes void if the holder has not carried out construction work for two consecutive years or more, and WorkSafe WA says a card stays valid while the holder remains consistently within the construction industry and becomes invalid after two consecutive years or longer out of it. Record the issuing state's exact rule and set your own internal review date.
The holder, issuing state, card number as printed, issue date, training provider (RTO) if known, date sighted and by whom, and a status. Add the last known construction work date.
SafeWork NSW points to Verify NSW to look up and verify NSW white cards, and WorkSafe WA links to an Online Licence Search for blue and white cards. Log the date, the method, and who checked, and note that SafeWork NSW says a holder may still be asked to produce the physical card.
It depends on the issuing state. SafeWork NSW offers an online replacement through Service NSW if the holder's details have not changed, WorkSafe Victoria asks the holder to contact it by phone or online, and WorkSafe WA says to contact the RTO that issued the card.
SafeWork NSW says it recognises interstate cards that continue to be recognised in the issuing jurisdiction and are not cancelled, suspended or expired, and WorkSafe WA says other states' accredited induction training is recognised. Keep the issuing state on the row.
This page covers the Australian general construction induction card. Canadian WHMIS is on WHMIS certification tracking, US OSHA 10 and 30 cards are on OSHA 10/30 tracking, and Australian child-safety checks are on working with children check tracking.
No. Remindax tracks the details and dates you log and sends reminders by Email, SMS, and WhatsApp. It does not verify cards, deliver training, or give legal advice.
Yes - a forever-free plan, no credit card required.
