Integration

Outlook Calendar integration for Remindax

Connect Outlook Calendar and every Remindax expiration, appointment, and renewal shows up in the calendar your team already checks — with its reminder schedule attached and a link straight back to the item.

  • Works with Microsoft 365 and personal Outlook accounts.
  • Choose which Outlook calendar receives Remindax events.
  • Events update when the item changes and disappear when it is deleted.

One connection, zero double entry

Remindax stays the source of truth; Outlook stays current.

  • Get a Microsoft reminder popup on desktop, web, and mobile — without adding another app.
  • Send events to a shared or secondary calendar, not just your default one.
  • Jump from a calendar event straight back to the item in Remindax.
  • Run Outlook and Google Calendar at the same time when a team is split across both.

What lands in your Outlook calendar

Remindax writes to Outlook. It does not read your existing appointments or import events back into Remindax.

How each item becomes an event

  • An expiration item becomes a timed event on the expiry date, 09:00–09:30 in your company timezone.
  • An appointment or event with a start time uses the item's own start and end times.
  • An appointment or event without a start time becomes an all-day event on the item's date.

Where each field comes from

Outlook field Source in Remindax
Subject Remindax - {item title}
Body Item notes, the full reminder schedule, and a View in Remindax link
Start / end Expiry date, or the appointment's start and end
Time zone Your company's configured timezone
Location Item location (appointments and events)
Reminder Popup at the item's first scheduled reminder time

An event, as it arrives

The reminder schedule travels with the event, so anyone looking at the calendar can see every alert that is still to come.

View in Remindax
  • 1 The subject is prefixed so Remindax events are easy to spot and filter.
  • 2 The popup fires at the first scheduled reminder — days before the date itself.
  • 3 The View in Remindax link opens the item, where the documents and contacts live.

Setup takes under a minute

Each user connects their own Microsoft account, and the connection can run alongside Google Calendar.

  1. 1 Open Settings → Integrations → Outlook Calendar in your Remindax account.
  2. 2 Click Connect Outlook. Microsoft asks you to sign in and approve calendar access. No IT administrator approval is required for most accounts.
  3. 3 Remindax loads your calendar list and selects your default calendar. Pick any other calendar from the dropdown and save.
  4. 4 Save an item. The next item you create or save appears in the calendar you chose.

Two things worth knowing up front

  • Connecting does not backfill. Items created earlier sync the next time they are saved — open and save the ones you want on the calendar now.
  • Change the calendar whenever you like. New events go to the newly selected calendar from that point on.

Calendar updates are sent after the page finishes loading, so syncing never slows down saving an item.

Automatic, and accurate

A calendar full of stale renewal dates is worse than no calendar at all. Remindax keeps its own events current without anyone tidying up.

Created

Save an item in Remindax and the event appears in your chosen Outlook calendar.

Edited

Change the title, dates, notes, or reminders and the existing event is updated in place — no duplicates.

Deleted

Delete the item and its event is removed from the calendar, so nobody plans around a date that no longer exists.

Restored

Restore an item from the recycle bin and its calendar event is recreated.

Re-targeted

Switch the target calendar and new events go to the newly selected one.

The sync runs one way

Editing or deleting the event inside Outlook does not change anything in Remindax. Remindax is the source of truth, and the next save of the item restores the event.

Microsoft 365 and personal accounts

The integration works with the Microsoft account your team already signs in with, whichever kind it is.

Personal accounts

Outlook.com, Hotmail, and Live addresses.

Work or school accounts

Microsoft 365 tenants, connected per user.

Each user approves the connection themselves during sign-in, so most teams never involve IT. Some organizations restrict app approvals — in that case an administrator grants access once for the whole tenant.

One popup, the whole schedule

Outlook supports a single reminder per event, so one Remindax reminder becomes the Outlook popup — the first one on the schedule. That is a limit of the calendar, not of your reminder plan.

  • The full reminder schedule is always written into the event body.
  • Remindax still sends every reminder by email, SMS, and WhatsApp on schedule.
  • Reminders scheduled after the expiry date do not become popups — a calendar alert cannot fire after its event has started.

Security and permissions

Remindax asks Microsoft for the narrowest access that lets it write your events — and nothing else.

  • Microsoft sign-in uses OAuth. Remindax never sees or stores your account password.
  • Access and refresh tokens are encrypted before being stored, and sessions renew automatically in the background so you do not have to reconnect.
  • Remindax requests only calendar access (Calendars.ReadWrite) plus the ability to refresh its session (offline_access).
  • Remindax reads the list of calendar names so you can pick one. It does not read the contents of your existing appointments.
  • Remindax only creates and edits the events it created. The connection belongs to you and can be disconnected at any time.

Need a hand?

Our team can walk you through connecting Outlook Calendar and confirming events are syncing as expected.

Disconnecting stops future syncing but leaves events already written in your calendar. You can delete those in Outlook.

Runs alongside Google Calendar

Plenty of teams are split across both. Connect Outlook and Google Calendar at the same time and your items sync to both — nobody has to move calendars to see a renewal date.

  Outlook Google
Accounts Outlook.com, Hotmail, Live, Microsoft 365 Google and Google Workspace
Choose target calendar Yes Yes
Reminder popups per event One Up to five
Setup location Settings → Integrations → Outlook Calendar Settings → Integrations → Google Calendar

Both integrations are configured the same way, and each user connects their own account.

Frequently asked questions

Personal accounts (Outlook.com, Hotmail, Live) and Microsoft 365 work or school accounts.

Usually not — each user approves it themselves during sign-in. Some organizations restrict app approvals, in which case an administrator grants access once for the whole tenant.

The default calendar is selected automatically after connecting, and it can be changed to any other calendar from the dropdown on the integration page — including shared or secondary calendars.

No. Remindax only creates and edits its own events. It never reads or modifies anything else in the calendar.

No. Items sync the next time they are saved. New and edited items sync immediately.

Outlook allows a single reminder per event. Remindax uses the first one for the popup and writes the complete reminder schedule into the event body. Every reminder is still delivered by email, SMS, and WhatsApp as scheduled.

The calendar event is removed. If the item is restored from the recycle bin, the event comes back.

Remindax is the source of truth. Changes made in Outlook are not sent back, and the next save of the item restores the event details.

Yes. Both can be connected at once, and items sync to both. See the Google Calendar integration for that side of the setup.

Syncing stops immediately. Events already in the calendar remain and can be deleted in Outlook.

Every expiration, in the calendar you already use
