Connect Remindax with Zapier

Automate expiration reminders, contacts, and reminder-triggered workflows across the apps your team already uses — Slack, Gmail, Google Sheets, Microsoft Teams, HubSpot, Salesforce, Trello, Asana, and thousands more.

  • Create Remindax expiration reminders from other apps.
  • Add contacts from forms, CRMs, spreadsheets, or support tools.
  • Send Slack or Teams messages when a Remindax reminder is triggered.
  • Secure API keys generated from inside Remindax.

Reminders, automated

Across the tools your team already uses.

Generate a Zapier API key inside Remindax, paste it into Zapier, and start building Zaps. Remindax uses your default department, document types, reminder sequences, and contacts — so automated reminders stay consistent with the way your team already works.

What you can automate

Two Zapier actions and one trigger cover the workflows most teams need — create reminders, create contacts, and react when a reminder runs.

Action

Create expiration reminders

Trigger Remindax to create an expiration reminder when something happens in another app.

  • New Google Sheets row → create an expiration reminder.
  • Closed CRM deal → create a renewal reminder.
  • Submitted form → create a compliance reminder.
  • Uploaded contract → create an expiration record.
Action

Create contacts

Push contact details into Remindax so notifications land with the right people automatically.

  • Form submission → add a Remindax contact.
  • New CRM company → add a vendor contact.
  • Spreadsheet row → add a client contact.
  • Maps to the API key’s default department automatically.
Trigger

Triggered reminder

React in any Zapier-connected app when a Remindax reminder runs.

  • Reminder triggered → post a Slack message.
  • Reminder sent → add a row to Google Sheets.
  • Expiration reminder → create a task in Asana or Trello.
  • Compliance reminder → notify a Microsoft Teams team.
Action fields

Create expiration reminder

Map any source app to these Remindax fields. Only title and expiration date are required — everything else falls back to your account defaults.

Field Required Description
title Yes Name of the expiration reminder.
expiration_date Yes Expiration or due date.
document_type_name No Falls back to default document type.
sequence_name No Falls back to default reminder sequence.
folder_path No Path such as \Clients\ABC\. Missing folders are created automatically.
notes No Notes saved on the Remindax item.
Smart defaults

Remindax fills in the rest

Every Zapier-created reminder respects the way your company already works in Remindax — no internal IDs to look up.

  • Applies the Zapier key’s default department — no manual department IDs.
  • Uses the selected or default reminder sequence for timing, templates, and channels.
  • Adds default contacts and reminder channels straight from the sequence.
  • Auto-creates nested folders from a folder path like \Clients\ABC\.
  • Respects existing subscription, plan limits, and reminder scheduling logic.
  • Accepts human-readable names like Insurance, Permit, Contract, or License.

Built for clean, secure automation

Secure keys, smart deduplication, and the controls admins need to ship Zaps with confidence.

Company-scoped API keys

Keys are generated inside Remindax, stored as a secure hash with prefix and last four characters, and scoped to a single company and department.

No duplicate Zapier events

A single reminder sent through email, SMS, and WhatsApp produces one Zapier event — deduplicated by item, date, and hour.

zapier_item_trigger_{item_id}_{date}_{hour}

Bearer or header auth

Zapier authenticates with the standard bearer header. A custom header is also supported for advanced setups.

Authorization: Bearer {api_key}

Auto-created folders

Pass a folder path and Remindax creates missing folders in order — empty paths drop to the root folder.

Dropdowns & lookups

Zapier reads dropdown values for departments, document types, and contacts — so users pick from real Remindax data while building a Zap.

Regenerate & revoke

Regenerate a Zapier API key anytime — the previous active key is revoked instantly. Update existing Zaps with the new key to resume.

Setup in three steps

Generate a key, connect Remindax in Zapier, and build your first Zap.

  1. 1

Generate a Zapier API key in Remindax

Go to Settings → Integrations → Zapier, select the default department, generate the key, and copy it. The full key is shown only once.

  2. 2

    Connect Remindax in Zapier

In Zapier, choose Remindax as the app and paste the API key. Zapier authenticates each request with a bearer header.

  3. 3

    Build a Zap

Pick Remindax as an action (Create Expiration Reminder, Create Contact) or as a trigger (Triggered Reminder), and connect it to Slack, Sheets, Teams, Asana, Trello, or any other Zapier app.

Tips for a smooth rollout

  • Set the default department before generating the key — every Zap-created reminder will live in that department.
  • Map document type and sequence by name — Zapier users never need internal IDs.
  • Use folder paths to keep automated reminders organized by client, vendor, or project.
  • Test the Zap with a single record before turning on the full automation.

Tip: Store the API key in your password manager — Remindax shows the full key only at the moment it’s generated.

Frequently asked questions

Do users need to know department IDs?

No. Each Zapier API key has a default Remindax department. Zapier-created reminders use that department automatically.

Can Zapier create folders?

Yes. Zapier can pass a folder path such as \Clients\ABC\. Remindax creates missing folders automatically.

What happens if the sequence name is wrong?

Remindax falls back to the default reminder sequence so reminders never fail to schedule.

What happens if the document type name is empty?

Remindax uses the default document type for the Zapier department.

Will Zapier get duplicate events for Email, SMS, and WhatsApp?

No. Remindax groups reminder trigger events by item, reminder date, and reminder hour — so one reminder produces one Zap event even when delivered through multiple channels.

Can users regenerate the API key?

Yes. Regenerating a Zapier API key revokes the old key for the company. Update existing Zaps with the new key to resume.
