A growing UAE employer or household rarely has one card date. It has an Emirates ID per person, each ending in a different month, plus a residence visa and a passport that travel with it.
This page covers the Emirates ID card record only. Work permits are on labour card tracking and passport records on passport tracking. (General information only - not legal advice. See Sources.)
Remindax tracks card numbers, end dates, linked-date pointers, owners, and status. It does not apply for or renew cards, connect to ICP or any government system, or decide whether a card is valid.
1. What is Emirates ID tracking?
It is a dated record, per person, of the Emirates ID card: whose card it is, the identity number, when the card was issued and when it ends, who owns the next step, and which other documents sit beside it. The u.ae page describes the Emirates ID as an identity card issued by the Federal Authority for Identity, Citizenship, Customs and Port Security (ICP), and says it is a legal requirement for all UAE citizens and residents to apply for one and carry it. For an employer that means one card per employee and often one per dependant.
1.1 What sits on each row
Holder and sponsor
Full name, role (employee or dependant), the employer or family sponsor, and the person who manages the file.
Number and dates
Identity number as printed, card issue date, card end date as printed, and the date you last sighted the card.
Linked document dates
Residence visa end date, passport expiry and work permit end date, each in its own field.
Renewal owner and status
Who starts the renewal, who is the backup, and whether the row is current, review due, or overdue.
2. What do u.ae and ICP say about the card?
A register should follow the official pages. The table summarises what the u.ae Emirates ID page and the ICP services page say that a register needs. Check the live pages before you set a policy, because rules and fees change.
| Item | What the official page says | Register field |
|---|---|---|
| Requirement | Legal requirement for all UAE citizens and residents to apply for the card and carry it (u.ae) | Card status per person |
| Identity number | 15 digits, unique to the holder, and it stays with the holder (u.ae) | ID number as printed |
| Card validity period | Not stated on the u.ae Emirates ID page or on the ICP services page we read | Card end date, plus review date |
| Renewal window | u.ae: after expiry or as early as six months before expiry. ICP: for non-UAE nationals, when less than six months remains; for UAE nationals, less than one year | Earliest renewal date and review date |
| Late fee | u.ae: if renewed more than one month after expiry, AED 20 per day, up to a maximum of AED 1,000 | Overdue flag and note |
| Lost card | u.ae: report the loss to ICP within 7 days from the date of loss | Loss date and report date |
| Replacement | ICP: the replacement card is issued for the same validity period as the original | New card number, same end date until confirmed |
| Changed details | u.ae: report changes in personal details to ICP within one month | Change date and owner |
| Cancellation | u.ae: linked to cancellation of the residence visa, requested by the sponsor | Cancellation date and checklist status |
Summary only, based on the u.ae and ICP pages listed in Sources, read on the date shown there. Whether a card is valid or a renewal is due is a question for ICP and your own advisers - this page does not answer it.
Neither page states how long a standard card lasts, so do not calculate an end date from an issue date. Copy the printed date and add your own review date.
3. What does a per-person Emirates ID register look like?
One row per person, employees and dependants alike, with the card number, the end date as printed, a review date, linked-date pointers, an owner and a status. The example below is illustrative - the names, numbers and dates are made up, and the review dates are internal policy, not government periods.
| Person | Role | ID number | Card end | Review date | Visa end | Owner | Status |
|---|---|---|---|---|---|---|---|
| A. Khan | Employee | 784-XXXX-XXXXXXX-X | Mar 14, 2027 | Jan 14, 2027 | Mar 20, 2027 | HR officer | Current |
| A. Khan spouse | Dependant | 784-XXXX-XXXXXXX-X | Mar 14, 2027 | Jan 14, 2027 | Mar 20, 2027 | A. Khan | Current |
| B. Silva | Employee | 784-XXXX-XXXXXXX-X | Dec 2, 2026 | Oct 16, 2026 | Dec 9, 2026 | HR officer | Review due |
| D. Rossi | Employee | 784-XXXX-XXXXXXX-X | Aug 21, 2027 | Jun 21, 2027 | Aug 30, 2027 | Finance | Replacement requested |
Illustrative register only. Names, numbers and dates are placeholders, and review dates are examples your team sets. They are not renewal periods from ICP. Store identity numbers only where your data policy allows.
Dependants get their own rows rather than a note under the sponsor, because a spouse or child can have a different end date and replacement history. Put the family sponsor's name in the owner field.
To see a starter layout, try the employee visa, passport and work permit tracker template.
4. Which linked dates should be pointers, not copies?
The Emirates ID is one clock among several. Keep each linked date in its own field with its own owner, and use the card row to point to them. This page tracks the card only.
Residence visa
u.ae says card cancellation is linked to visa cancellation, and that a standard work visa is valid for two years. Record the printed visa end date separately.
Passport
Passport expiry has its own rules and dates. See passport tracking for passport validity records.
Pointers are for dates only. Whether a visa or card is valid or due is a question for the issuing authorities and your advisers.
Update each field only from its own document, so a renewed visa never overwrites a card date.
5. Who owns the renewal, and when should review start?
Split the work by stage, then give one person a view across every card, with a named backup for leave periods. u.ae says ICP renews the card through customer happiness centres or its smart services system and app, and holders aged 15 or over complete fingerprints and signature at service centres.
HR officer or PRO
Checks the card end date, confirms the visa and passport details, and gathers what ICP asks for.
Employee or sponsor
Attends where a visit is needed, and tells HR at once when a card is lost or damaged.
HR or operations manager
Reviews review-due and overdue rows and decides next steps under your own policy.
5.1 An example internal review ladder
The offsets below are internal examples your team sets, not government periods.
- ✓About 180 days before the end date: the renewal window described by u.ae and ICP for non-UAE nationals opens. The owner confirms the printed date.
- ✓90 days before: second reminder, with the manager copied if nothing has been started.
- ✓30 days before: escalation to the manager by Email, SMS or WhatsApp.
- ✓After the end date: the row turns overdue. u.ae mentions a late fee that starts after one month.
When the new card arrives, enter the new end date from the card itself, close the old row, and restart the ladder.
6. How should a lost or damaged card be recorded?
A replacement is its own event, not a renewal. The u.ae page says that if you have lost your card, or suspect it was stolen, you should report the loss to ICP within 7 days from the date of loss, and that a replacement can be requested for a lost, stolen or damaged card. ICP describes the replacement as issued for the same validity period as the original card.
On the register, log the date the loss or damage was found, who found it, the date it was reported, the replacement request date, and the new card number. Keep the old end date until the replacement is in hand and checked.
u.ae also says companies may not withhold employees' Emirates ID cards. Keep the register to numbers and dates, and let people hold their own cards.
7. What about changed details and cancellations?
Two other events move a card row. A change of personal details: u.ae says the holder must report any change to ICP within one month from the date of change.
The second is cancellation. u.ae says cancellation of the Emirates ID is linked to cancelling the residence visa, and that when the visa is cancelled the card is cancelled automatically as part of the process. The sponsor, meaning the employer or a family sponsor, submits the request. Track cancellation as checklist fields on the row, and keep the contract side on employment agreement tracking.
Remindax does not apply for, renew, replace or cancel Emirates ID cards, or connect to ICP or any government system.
8. How Remindax tracks Emirates ID records
Remindax is date-and-reminder tracking, not an ICP service:

Review and end-date reminders
Reminders before each date, by Email, SMS and WhatsApp.
Owners and escalations

It holds the numbers, dates and owners you enter on AWS hosting with encryption. GDPR-ready. For related employer permits, see permit tracking software. General information only - not legal advice.
9. Why spreadsheets fail for Emirates ID tracking
- xOne date column for card, visa and passport
- xNo alert before an end date
- xDependants buried in a notes column
- xReplacements depend on one PRO's memory
- ✓Card date plus separate pointer fields
- ✓Reminders by Email, SMS or WhatsApp
- ✓A row per person, employees and dependants
- ✓Named owner and backup per card
10. Key takeaways
- ✓One row per person, with card number, end date as printed, review date, linked-date pointers, owner and status.
- ✓State only what is stated: the pages give a renewal window and a late fee, but no card validity period, so use the printed date.
- ✓Treat a lost or damaged card as its own event, with a loss date, a report date and a replacement owner.
- ✓Remindax tracks dates and reminders by Email, SMS and WhatsApp. It does not renew cards, connect to ICP or give legal advice. Free to start.
