A growing Saudi employer rarely has one residence date. It has an iqama per person, each ending in a different month, plus a passport, a work permit or contract and an insurance policy that travel with it.
This page covers the Saudi iqama record only. US employment eligibility is on work authorization tracking, passport records on passport tracking, and the UAE work permit on labour card tracking. (General information only - not legal advice. See Sources.)
Remindax tracks iqama numbers, end dates, linked-date pointers, owners, and status. It does not apply for or renew iqamas, connect to Absher, Muqeem, Qiwa or any government system, or decide whether an iqama is valid.
1. What is iqama tracking?
It is a dated record, per employee, of the iqama (residence permit for foreign workers in Saudi Arabia) your company manages for them, when it ends, who owns the next step, and which other documents depend on it. The record is only as good as the source: copy the details from the document in the employee's file, and note where each date came from and when you last confirmed it.
1.1 What sits on each row
Employee and employer
Name, job title, branch or department, the establishment responsible for the file, and the person who manages it.
Number and dates
Iqama number as printed, issue date if shown, end date as printed, and the date you last checked it.
Linked document dates
Passport expiry, work permit or contract end date, Absher or Muqeem status note, and health insurance end date, each in its own field.
Renewal owner and status
Who starts the renewal, who approves, and whether the row is current, review due, or overdue.
2. What do the official pages say about iqama dates?
The iqama is issued under Saudi government rules, so your register should follow the official documents rather than hearsay. For this page we tried to read the main official sources: the Absher portal, the Ministry of Human Resources and Social Development (MHRSD), the Qiwa platform, the Muqeem portal, the Ministry of Interior and the unified national platform. The table shows what we could actually read.
| Item | What the official pages say | Register field |
|---|---|---|
| Absher | The landing page names Absher Individuals, described as e-services for citizens, residents and visitors, and Absher Business, described as e-services for establishments and business owners. It states no iqama period | Status note and date checked |
| MHRSD | The English home page describes Qiwa as the main digital platform for the Saudi labor system, and lists Musaned, Ajeer (temporary work using labor already in the Kingdom) and Wage Protection. It states no iqama or work permit period | Platform used and owner |
| Validity period | Not stated on the pages we could read | End date as printed, plus an internal review date |
| Renewal timing | No notice period or earliest renewal date stated on the pages we could read | Renewal owner and internal review date |
| Qiwa, Muqeem, MOI, unified platform | Pages blocked our request or showed no readable content, so we state nothing from them | Check the live pages yourself |
Summary only, based on the pages in Sources, read in October 2026. Whether an iqama is valid, or a renewal is due, is a question for the issuing authorities and your own advisers - this page does not answer it.
That gap is useful to know. If you cannot find a period on an official page, do not invent one. Record the end date from the document and set an internal review date that your team owns.
3. Why should the end date be recorded as printed?
A single reminder rule, such as one year after issue, is a guess. Because the pages we read give no period, a register that stores the end date exactly as printed is safer than one that calculates it. Three habits keep dates honest.
- ✓Copy, do not calculate: enter the end date from the document instead of adding a period to the issue date.
- ✓Record the source: note whether the date came from the card, a printout or a portal screen, and when you last looked.
- ✓Keep calendars visible: if a document prints more than one date format, store the date as printed and note which one you used for reminders.
4. What does an iqama register look like?
One row per employee, with the end date, a review date, the linked-date pointers, an owner and a status. The example below is illustrative - the names, numbers and dates are made up, and the review dates are internal policy, not government periods.
| Employee | Iqama end date | Review date | Passport expiry | Permit or contract end | Health insurance end | Owner | Status |
|---|---|---|---|---|---|---|---|
| A. Khan, driver | Mar 14, 2027 | Dec 14, 2026 | Sep 2, 2028 | Mar 14, 2027 | Mar 1, 2027 | HR officer | Current |
| B. Silva, accountant | Dec 10, 2026 | Oct 12, 2026 | Jun 20, 2029 | Dec 31, 2026 | Dec 5, 2026 | HR officer | Overdue review |
| C. Ahmed, engineer | Jul 22, 2027 | Apr 22, 2027 | Jan 9, 2030 | Jul 22, 2027 | Jul 1, 2027 | Operations | Current |
| D. Rossi, designer | See card | Check monthly | Nov 15, 2027 | See contract | See policy | Finance | Manual review |
| E. Nair, technician | Nov 30, 2026 | Oct 30, 2026 | Apr 18, 2028 | Nov 30, 2026 | Nov 20, 2026 | HR officer | Review due |
Illustrative register only. Names and dates are placeholders, and review dates are examples your team sets. They are not renewal periods from any Saudi authority.

5. Which linked dates should be pointers, not copies?
The iqama is one clock among several. Keep each linked date in its own field with its own owner, and use the iqama row to point to them. This page tracks the iqama record only.
Passport
Passport expiry drives travel and many document steps. See passport tracking for passport validity records, and keep the expiry date as a pointer here.
Work permit or contract
Record the work permit reference or contract end date in its own field, and keep contract terms on the employment agreement page.
Absher or Muqeem status
Add a status note and the date you last checked it on the portal. Remindax does not read the portal, so the note is only what your team entered.
Health insurance
Medical cover often runs on a different calendar. See health insurance tracking for policy renewal dates.
Pointers are for dates only. Whether a document is valid or due is a question for the issuing authorities and your advisers.
6. Who owns the renewal, and when should review start?
Split the work by stage, then give one person a view across every employee, with a named backup for leave periods.
HR officer or government relations officer
Checks the iqama end date, gathers the documents, and confirms the linked dates are current.
Authorised signatory
Approves renewals, fees and any exits.
HR or operations manager
Reviews review-due and overdue rows and decides next steps under your own policy.
6.1 An example internal review ladder
Because the pages we read state no renewal notice period, the offsets below are internal examples your team sets, not government periods.
- ✓90 days before the end date: review reminder to the renewal owner, who confirms the date and the documents needed.
- ✓45 days before: second reminder, with the manager copied if no renewal has been started.
- ✓14 days before: escalation to the signatory by Email, SMS or WhatsApp.
- ✓After the end date: the row turns overdue and stays open until the new end date or the exit is logged.
When the new iqama details arrive, enter the new end date from the document, close the old row, and restart the ladder.
7. How do transfers and exit fit on a register?
An iqama row does not only end by expiring. People move between employers, change roles or leave the country, and each event is a dated task. The MHRSD page we read mentions Ajeer, a program for temporary work that uses labor already inside the Kingdom, which is a reminder that arrangements differ. The pages we read do not set out transfer or exit rules, so this page does not either.
What a register can do is hold your own dated checklist. For a transfer, open a new row for the new arrangement and close the old row with the date. For an exit, log the date, the owner and each task your company has set.
Keep contract dates on the employment agreement page, and leave decisions about what is required to your advisers.
8. How Remindax tracks iqama records
Remindax is date-and-reminder tracking, not a government service:
Every employee on one register
Iqama number, end date and linked-date pointers per person, grouped by branch or department.
Review and end-date reminders
Reminders before each date, by Email, SMS and WhatsApp.
Owners and escalations
Named renewal owners, backups and managers copied when a row goes overdue.
Exports by status
Iqamas ending next quarter, or rows still waiting for a decision.
Remindax does not connect to government systems such as Absher, Muqeem, Qiwa or the Ministry of Interior. It does not apply for or renew iqamas, read documents, or decide what applies to a worker. It holds the numbers, dates and owners you enter on AWS hosting with encryption. GDPR-ready. For related permits, see permit tracking software.
9. Why spreadsheets fail for iqama tracking
A spreadsheet holds a date. It cannot warn a renewal owner that a review date has arrived.
- xOne date column for iqama, passport and insurance
- xNo alert before an end date
- xSource of the date not recorded
- xRenewals depend on one person's memory
- ✓Iqama date plus separate pointer fields
- ✓Reminders by Email, SMS or WhatsApp
- ✓Source and check date on each row
- ✓Named owner and backup per employee
10. Key takeaways
- ✓One row per employee, with the end date as printed, review date, linked-date pointers, owner and status.
- ✓State only what is stated: the official pages we could read give no iqama validity or renewal period, so use the printed end date and an internal review date.
- ✓Remindax tracks dates and reminders by Email, SMS and WhatsApp. It does not renew iqamas, connect to government systems or give legal advice. Free to start.
11. Frequently Asked Questions
The employee, the iqama number as printed, the end date as printed, the date you last checked it and who checked, plus pointers to the passport, work permit or contract, Absher or Muqeem status and health insurance dates. Add a renewal owner and a status so every row has a clear next step.
The official pages we could read for this page do not state an iqama validity or renewal period. The Absher landing page names its services for establishments and for residents but gives no period, and the Ministry of Human Resources and Social Development (MHRSD) pages describe platforms without one. Record the end date printed on the document and set an internal review date as your own policy.
The official pages we read state no notice period or earliest renewal date, so Remindax cannot quote one. Many teams set an internal review date well ahead of the end date, for example 90 days, and add a second and third reminder. Treat those offsets as your own policy, not a government rule.
Keep the passport expiry, work permit or employment contract end date, Absher or Muqeem status note and health insurance end date as their own fields. They are separate documents with separate owners, so the iqama row works as a pointer to each rather than a copy.
Open a new row when an employee moves to a new employer or arrangement and close the old row with the date. For an exit, log the date, the owner and each task your company has set, for example returning company property. The official pages we read do not set out transfer or exit rules, so confirm those with the authorities and your advisers.
This page covers Saudi iqama records. US employment eligibility is on work authorization tracking, passport validity on passport tracking, and the UAE work permit on labour card tracking. Each country has its own documents, so this page only points to them.
No. Remindax tracks the dates, numbers and owners you log and sends reminders by Email, SMS and WhatsApp. It does not connect to government systems such as Absher, Muqeem or Qiwa, renew or cancel iqamas, or give legal advice.
Yes - a forever-free plan, no credit card required.
