A clinic can renew the federal certificate and still be out of status in the state where someone prescribes. The state registration has its own end date and a status the federal file does not update.
This page owns state controlled substance registration dates and status. Federal expiration dates live on DEA registration tracking. A pharmacy premises authorization lives on pharmacy permit tracking. (General information only - not legal advice. Rules vary. See Sources.)
Remindax tracks renewal dates and status you log. It does not read a board portal, submit renewals, or provide legal advice. Your organization owns the filing. This is not a 50-state rule list.
1. What is state controlled substance registration tracking?
Where a state issues one, a controlled substance registration is that state's authority to handle controlled substances. Boards may call it a CSR, a CDS registration, or another name. Tracking means recording the expiration, any notice or window the board publishes, the status you last confirmed, and who must act.
Remindax is track-and-remind only. It is not an application guide. Federal number lookup belongs on DEA Controlled Substances Registration tracking. The federal end date belongs on DEA registration tracking.
1.1 Six fields on one state row
State and board
Which state, and which board. A second state is a second row.
Expiration or renewal day
The date on the credential. Do not copy a neighboring state or the federal certificate.
Notice or window
When renewal opens, or when the board sends a notice.
Status you last confirmed
Current, renewal open, cycle closed, grace if published, or expired.
One row per registration issued
If a board issues an added registration for another site, that is another row.
Federal and premises clocks
DEA registration dates, a pharmacy permit, a medical license, and a pharmacist license sit on their own pages.
Whether a separate registration exists is a state rule. This page does not list every board. Keep the state row off the federal date on compliance tracking unless the dates match.
2. When do state CSR renewals fall, and what status should you log?
There is no single US renewal day. Two public board pages already disagree. Use them as illustrations only.
Connecticut's Department of Consumer Protection says the practitioner registration renews every two years and expires February 28 of every odd year. Notices go out about 30 to 45 days ahead. It is separate from DEA, and a Connecticut address on a DEA registration depends on holding the state registration first.
Wyoming's Board of Pharmacy says prescribers need this registration, plus a valid Wyoming license and prescriptive authority, before a federal DEA registration. It expires June 30 and renews every two years.
Reviewed in October 2026, Wyoming's page showed the 2026-2027 individual registration closed, with a grace receipt time of 5:00 p.m. on September 30, 2026 for that cycle only. Not a national grace period. Log the status on the board's page.
Log expiration, any notice date, any one-cycle deadline, and the day you last checked status. Connecticut also says an added registration can be required where controlled substances are ordered and received at more than one site. Remindax stores what you enter and does not file. Federal dates stay on DEA registration tracking, premises dates on pharmacy permit tracking, and stock counts on biennial inventory tracking.
3. Why tracking state CSR dates and status matters
The miss is quiet until someone asks for a state registration that expired on a calendar the federal row never had:
Two calendars, one person
February 28 and June 30 will not share a reminder. One "current" cell hides which clock was checked.
The notice goes to the address on file
Connecticut sends renewal notices about 30 to 45 days ahead and asks registrants to keep contact details current. A departed coordinator means that note misses the owner.
Federal renewal does not flip state status
In the Connecticut and Wyoming examples, the state registration comes before a DEA registration tied to that state. Renewing the federal certificate does not move the state date.
A closed cycle is a status, not a rumor
If the board closes a cycle or posts a one-cycle grace deadline, the row should say so.
Health and safety teams usually keep this registration in the same register - on its own row, not inside a DEA or pharmacy-permit checkbox.
4. Who needs to track state controlled substance registrations
Anyone who owns a state registration's end date or status. Who must hold it is a state question. Who must watch the date is an operations question:
Multi-state panels
One person can hold two state dates. Each registration gets a row.
Sites that order or store
Connecticut says an added registration can be required at each site that orders and receives controlled substances.
Facilities on that board's list
Wyoming also names clinics, research sites, labs, and teaching institutions. That list is not national.
Compliance leads
Portfolio view of upcoming state expirations and statuses, kept off the federal renewal month.
Learn MoreSite and safety teams
Need the state date kept apart from the pharmacy permit and the professional license.
Learn MorePermit is a different row
A premises permit and a CSR can expire on different days. Track the permit separately.
5. What happens when state CSR dates and status slip
A reminder a year out is noise if renewal is not open. The miss is passing the notice window, then expiration, while status still says current. What expiration means is up to that state. This page does not describe penalties. The job is the date and the status, in front of someone who still works there.
A renewed DEA registration does not move a state expiration. A current pharmacy permit does not either. A medical license or pharmacist license can be required too - Wyoming says so for prescribers - and still expire on another day. Track separate rows. Remindax does not decide whether activity may continue.
6. How Remindax tracks state CSR dates and status
Remindax stores the dates and status you log and sends reminders. It is not a board portal:
Every state registration in one dashboard
State, board, expiration, notice or window date, and status, held per registration the board issued.
Staged Email, SMS, and WhatsApp reminders
Alerts before the notice window and again before expiration, to the people who own the date.
Mixed-state view
See which February rows and which June rows - or any other state day you entered - come due next quarter.
Status you can show
Pull expiration dates and the status you logged when someone asks. Dates and status only. Free to start.
Remindax does not look up state numbers, scrape a board, or file renewals. Your organization does that. Remindax only watches the dates and status you entered.
7. Why spreadsheets fail for state CSR tracking
A spreadsheet lists end dates. It fails when one tab mixes state calendars, a federal expiration, and a pharmacy permit. "Current" hides which clock was checked.
- xDifferent state calendars share one column
- xFederal expiration pasted into the state row
- xOwner name still points at a coordinator who left
- xStatus stays "active" after a cycle closes
- xNo reminder when the board's notice window opens
- ✓Each state registration has its own expiration
- ✓Status logged separately from the date
- ✓Reminders before the notice window and expiration
- ✓Federal dates and pharmacy permits kept on their own rows
- ✓Email, SMS, and WhatsApp to people who can act
8. Key takeaways
- ✓Track expiration, renewal window, and status. Not a filing guide and not a 50-state list.
- ✓Each state sets its own clock. Connecticut: February 28 of odd years, notices about 30 to 45 days ahead. Wyoming: June 30, every two years. Confirm the board.
- ✓A closed cycle or a one-time grace deadline is status. It does not rewrite the standing expiration.
- ✓Federal expiration, number lookup, a pharmacy permit, and the professional license are separate rows.
- ✓Remindax reminds by Email, SMS, and WhatsApp. It does not file or give legal advice. Free to start.
9. Frequently Asked Questions
Holding each state registration's expiration or renewal date and the status you last confirmed, then reminding the owner. Not a filing service and not legal advice.
No. The state board sets that calendar. Federal expiration dates belong on DEA registration tracking. Connecticut and Wyoming both say to hold the state registration before a DEA registration tied to that state. Other states set their own rules.
No. Each state sets its own clock. Connecticut's practitioner registration expires February 28 of odd years. Wyoming's expires June 30, every two years. Examples only. Confirm the board for the site.
State, board, identifier, expiration, any notice or window, status, and an owner. Connecticut's notice is about 30 to 45 days out. A closed cycle or one-time grace deadline is status, not a national rule.
No. A pharmacy permit authorizes the premises. A controlled substance registration, where the state issues one, is a different credential and can expire on another day. Keep permit dates on pharmacy permit tracking.
No. Remindax stores dates and status you enter and sends Email, SMS, and WhatsApp reminders. Applications, renewals, and eligibility stay with your organization. Remindax does not give legal advice.
Yes. Each state, and each registration a board issued for an added site, gets its own row and its own reminders. A shared owner does not mean a shared expiration.
