Track tenancy contract dates, rent cheques, and Ejari records for UAE and Gulf rentals

A Gulf tenancy is more than a start and end date. It has a registration record, a renewal decision, a run of post-dated rent cheques or instalments, a security deposit, and a handover. Remindax puts every date for every unit on one register, with owners and Email, SMS, and WhatsApp reminders. Free to start.

Registration, renewal, cheque, deposit, and handover dates for each tenancy on one register.

A property manager in Dubai, a company renting staff housing in Sharjah, a tenant holding a villa with four cheques a year - each has the same quiet problem. The contract was signed, filed, and forgotten, and the dates inside it belong to nobody.

This page covers Gulf and UAE-style tenancies: the contract term, the registration record, the renewal decision, rent cheques, the deposit, and handover. US-style lease terms, holdover, and triple-net clauses live on lease agreement tracking. (General information only - not legal advice. See Sources.)

Dates and reminders - not legal advice

Remindax tracks dates, amounts you enter, owners, and status and sends reminders. It does not register contracts, file anything with a government system, interpret tenancy law, or tell you what notice you must give. Your contract and the official sources decide that.

Section 01

1. What is tenancy contract tracking?

It is a dated record of each rented unit: who the landlord and tenant are, when the term starts and ends, whether the contract is registered, when rent falls due, what deposit was paid, and when the keys change hands. Each of those is a separate clock, and each can be missed on its own.

The Gulf adds a few clocks that a plain calendar entry for the lease end does not cover. Rent is often paid by post-dated cheques or fixed instalments written into the contract. In Dubai, the contract is also recorded in a government registration system. Handover usually comes with a condition record. Tracking means giving every one of these an owner and a reminder.

1.1 What sits on each row

The registration or Ejari number, issue date, and where the certificate is saved.

Money

Rent and deposit

Instalment or cheque dates, amounts you enter, and the deposit paid and its return status.

Section 02

2. Which dates matter on a Gulf tenancy?

Six date types cover most tenancies. Not every contract uses all of them, so treat the table as a starting template and delete what your contract does not contain.

DateWhat it marksWho usually owns it
Start dateWhen the term begins and the first rent is dueProperty manager or tenant
End dateWhen the term expires under the contractProperty manager or tenant

Section 03

3. What is Ejari, and what should the register hold?

The Dubai Land Department describes Ejari as the official system for registering tenancy contracts in Dubai. Its pages say registration is mandatory and is governed by Law No. 26 of 2007 as amended by Law No. 33 of 2008. Registration is done through a Real Estate Trustee Center, the Dubai REST app, or the department website, and an e-Contract Registration Certificate follows.

The department's pages also say a tenant can register only with the landlord's approval, and that the request is cancelled automatically if the landlord does not respond within five days. For tracking, that five-day window is a real task: someone has to chase the approval, so it gets an owner and a short reminder.

Other emirates and Gulf states run their own registration or equivalent systems, with their own rules and names. This page names only the Dubai system because that is the source we checked. For anywhere else, confirm the process with the local land or housing authority and record whatever reference it issues.

3.1 What to record

  • ✓Registration reference: the Ejari number or the equivalent record number, with the issue date.
  • ✓Certificate location: where the registration certificate PDF is saved, attached to the row.
  • ✓Registration status: not started, awaiting landlord approval, registered, or needs renewal.
  • ✓Owner: the named person responsible for registering or re-registering when the contract is renewed.

Summary only, based on the Dubai Land Department pages in Sources. Fees and procedures change - confirm them on the official site before relying on them.

Section 04

4. What about the renewal notice window?

This is the date people most want a number for. The Dubai Land Department tenancy guide reproduces Law No. 26 of 2007 (as amended by Law No. 33 of 2008). Its Article 14 says that, unless the parties agree otherwise, a party who does not wish to renew the contract, or wants to amend any of its terms, must notify the other party no less than 90 days before the contract expires. Your contract may agree something different and the law can be amended, so confirm the figure in your own contract and on the Dubai Land Department site. This page tracks the date; it does not tell you what notice you must give.

What you can do without knowing the number is protect yourself with an internal review date. Pick a date comfortably ahead of the notice deadline - many teams use 120 days before the end - and make it the day someone must decide: renew, renegotiate, or give notice. Then add a second reminder for the notice deadline itself (90 days before the end under the guide, or the figure in your contract). If your contract sets a longer window, add an earlier reminder to the same row.

4.1

Internal review date

Set by your team, not by law. It is the day the renewal decision gets made.

4.2

Contractual notice date

Copied from your contract once someone has read the clause. Add it as its own date.

4.3

Renewal registration

If the renewed contract needs re-registering, add that as a task with an owner.

Illustrative only. The 120-day review date is an example internal policy, not a legal period.

Section 05

5. How should rent cheques and instalments be tracked?

Many Gulf tenancies are paid by a set number of cheques or instalments, agreed in the contract and handed over at signing or on a schedule. The dates matter to both sides. A landlord wants to bank each cheque on time and know when one is outstanding. A tenant wants funds in the account on each date.

Give each cheque or instalment its own line under the tenancy: number, amount you enter, date, bank or payment method, and a status such as received, banked, cleared, or returned. Reminders go to the finance owner a few days before each date and again if the status is still open afterwards.

5.1 An example cheque schedule

ChequeDateAmountStatus
Cheque 1Jan 1, 2027Example amountReceived
Cheque 2Apr 1, 2027Example amountReceived
Cheque 3Jul 1, 2027Example amountAwaiting
Cheque 4Oct 1, 2027Example amountAwaiting

Illustrative schedule only. Dates, amounts, and the number of payments come from your own contract.

Section 06

6. What about the security deposit and handover?

The deposit has two dates that are easy to lose: when it was paid, and when it should come back. The second only matters if the first was recorded. Put both on the row, along with the amount you entered and who holds the money.

Handover has its own cluster. Record the move-in date, who attended, where the condition report or photos are stored, and the move-out inspection date. When the tenancy ends, a simple checklist - keys returned, utilities closed, inspection done, deposit return requested - gives the property manager a finish line instead of a vague intention.

Deposit

Paid and returned

Date paid, amount, holder, and the date return was requested and received.

Handover

Move-in record

Handover date, condition report location, and the people present.

Move-out

Inspection and keys

Inspection date, keys returned, utilities closed, and final status.

Whether a deposit can be deducted from, and how, is a contract and legal question. The tracker records the dates; it does not decide the outcome.

Section 07

7. What does a tenancy register look like?

One row per unit per contract term, with the registration record, the rent schedule summary, and the next action. The example is illustrative - names, numbers, and dates are made up.

Section 08

8. Which owner model works for tenancy records?

Split the work by stage, then give one person a view across every unit:

Signing

Property manager or agent

Opens the row, records the term, deposit, and registration reference, and saves the certificate.

Payments

Finance owner

Owns cheque and instalment dates, banking status, and chasing returned or late payments.

Oversight

Contract owner

Reviews the notice review date, decides renew or leave, and signs off handover.

8.1 An example escalation ladder

  • ✓120 days before the end: the contract owner is reminded to decide renew, renegotiate, or leave.
  • ✓Five days after a registration request: the owner is reminded to check whether the landlord has approved.
  • ✓Cheque date passed with status open: the row turns overdue and escalates to finance by Email, SMS, or WhatsApp.

The offsets are examples your team sets. Contract reminder software works best when these reminders live in the tool, not in one manager's inbox.

Section 09

9. How Remindax tracks tenancy contracts

Remindax is date-and-reminder tracking, not a registration or legal service:

1

Every unit on one register

Term, registration reference, and key dates per unit, grouped by building, portfolio, or owner.

2

Reminders on each date

Email, SMS, and WhatsApp alerts for review dates, cheques, deposits, and handover.

3

Documents attached

The signed contract, the registration certificate, and the condition report on the row.

4

Exports by status

Tenancies ending next quarter, cheques still open, or deposits not yet returned.

One honest limit

Remindax does not register contracts, connect to Ejari or any government system, interpret tenancy law, or tell you what notice is required. It holds dates, amounts you enter, documents, owners, and status on AWS hosting with encryption. GDPR-ready.

Section 10

10. Why spreadsheets fail for tenancy tracking

A spreadsheet holds a date. It cannot warn anyone that a cheque is due, a registration is stalled, or a review date has arrived. Across a handful of units that is manageable; across a portfolio it is not.

Manual spreadsheet
  • xLogs the end date but not the review or registration dates
  • xCheque dates live in a separate file nobody opens
  • xNo alert when a registration request stalls
  • xDeposit return dates are forgotten after move-in
Automated tracking
  • ✓One register with every date type per unit
  • ✓Reminders before each review, cheque, and handover date
  • ✓Named owners and escalation when a date passes
  • ✓Contract and certificate attached to the row

If you are starting from a spreadsheet, begin with our free lease tracking spreadsheet, then move to automated reminders when you are ready.

  • ✓Remindax tracks dates and sends reminders by Email, SMS, and WhatsApp. It does not register contracts or give legal advice. Free to start.
Section 12

12. Frequently Asked Questions

Create one row per unit per contract term. Record the start and end dates, the registration reference, each rent cheque or instalment date, the deposit, and the handover dates, then assign an owner and a reminder to each.

The Dubai Land Department describes Ejari as the official system for registering tenancy contracts in Dubai. Its pages say registration is mandatory under Law No. 26 of 2007 as amended by Law No. 33 of 2008. Other places have their own systems, so confirm locally.

The Dubai Land Department says registration is available through a Real Estate Trustee Center, the Dubai REST app, or its website. It also says a tenant can register only with the landlord's approval, and the request is cancelled if the landlord does not respond within five days.

The Dubai Land Department tenancy guide reproduces Law No. 26 of 2007, Article 14, which says that unless the parties agree otherwise, a party who does not wish to renew or wants to amend a term must notify the other party at least 90 days before the contract expires. Your contract may differ and the law can change, so confirm it. A practical step is to set an internal review date ahead of that deadline and treat it as the day the renewal decision is made.

Give each cheque or instalment its own line with number, date, amount you enter, and status such as received, banked, cleared, or returned. Remind the finance owner before each date and again if the status is still open afterwards.

Record the amount you entered, the date paid, who holds it, and the dates the return was requested and received. Whether anything can be deducted is a contract and legal question that the tracker does not decide.

This page covers Gulf and UAE-style tenancies with registration records, cheques, and handover. US-style lease terms, holdover, and triple-net clauses are covered on lease agreement tracking.
